Reporting on Costs & Financial Data

JetTime enables you to track and analyze financial data, such as costs, directly from your custom numeric work log fields of type number with the currency format. Whether you’re monitoring project budgets, evaluating billable costs, or tracking other financial metrics, JetTime provides customizable tools to facilitate detailed reporting.

The financial reports can be visualized using both Timesheet and Table View modes.

How to Create a Report on Costs & Financial Data

To generate a cost or financial data report in JetTime, include columns that display the relevant custom numeric fields and configure the report to focus on financial metrics. Follow these steps:

  1. Navigate to the Reports section within JetTime and open a specific report.
  2. Select the desired report view mode:
    • Table View: Use this mode to display cost-related data in a structured tabular format, including totals for each grouping.
    • Timesheet View: This mode is ideal for viewing financial data metrics over specific time periods, such as across weeks or months.
  3. Add columns to your report that display financial data:
    • For Table View, ensure you include total columns that represent custom numeric work log fields of type number with the currency format, such as project costs, billable amounts, or estimated budgets.
    • For Timesheet View, choose a custom numeric work log field of type number with the currency format as the main metric to display totals across the date range directly in the timesheet cells (e.g., total billable costs).
  1. Apply filters to refine the data in the report. For example:
    • Filter by project to view costs associated with a specific project.
    • Filter by account or client to see financial data for a specific stakeholder.
    • Use additional custom fields to narrow down specific criteria, such as department costs or task-specific expenses.
  2. Set a Date Range to include work logs relevant to your financial analysis. Logs must fall within this range to reflect in the report.

Grouping and Summarizing Financial Data

For deeper insights, JetTime allows you to group and summarize financial data hierarchically in reports. Nested and hierarchical groupings help you organize and analyze cost-related metrics more effectively. Examples include:

  • Group by Project: View total expenses or billable amounts across multiple projects.
  • Group by Account or Client: Assess costs incurred or revenue generated for each account or customer.
  • Group by Custom Fields: Use custom fields such as department, expense type, or other financial indicators to structure your data.
  • Combine Groups Hierarchically: Create advanced groupings, such as grouping by client and nesting by project or grouping by project and further nesting by expense type.

Customize these options in the report customization settings to tailor financial data reporting to your analytical needs.

Use Cases for Financial Data Reporting

JetTime’s financial data reporting is highly versatile and can be applied in a variety of scenarios, such as:

  • Project Budget Tracking: Monitor whether the costs logged against a project remain within the allocated budget.
  • Client Billing: Analyze billable amounts logged for different clients or accounts to support invoicing processes.
  • Expense Analysis: Break down operational costs by department, project, or other custom criteria.

Exporting Financial Data Reports

To share and analyze financial data outside JetTime, you can export reports in various formats:

  • Export to PDF: Generate visually presentable reports for meetings or stakeholder presentations.
